Terms & Conditions

WE RECOMMEND YOU READ THE FOLLOWING TERMS & CONDITIONS CAREFULLY. IT IS VERY IMPORTANT THAT YOU UNDERSTAND THESE CONDITIONS, AS THIS WILL BE YOUR CONTRACT TERMS & CONDITIONS WITH US.
Sweet Gibraltar Weddings, as wedding coordinators, hereinafter referred to as ‘SGW’, will provide you, hereinafter referred to as ‘the client’, with an exclusive, top quality personalised wedding package, for such a memorable and special occasion.

After the client has made the initial booking, detailing his/her intent, ideas and wish list to SGW, will receive full details of the chosen and personalised wedding package, together with a quotation of costs for the entire arrangement.

The client, on validating the selected personalised wedding package and making the required payment, accepts full responsibilities for making good any balance of payment due, or any surcharges that may subsequently arise, as the case may be. Please note that cancellation charges will come into effect at this stage of validation, should the arrangement be cancel by the client and/or his/her representative or any member of the party or group, subsequently wishing to cancel or be unable to attend for whatsoever reason.

Upon receipt of payment, SGW will immediately initiate the process of making all the necessary formalities, arrangements and provisional reservations, when and where required. Once all the arrangements, reservations and bookings have been made, we will notify the client of the same.

Notification will always be e-mailed, if the client has provided an email address, faxed or by post. That notification will henceforth serve and become SGW’s contract with the client. Alternatively wedding arrangements which are made within 48 hours of wedding ceremony taking place, will be confirmed by or telephone and, where possible, details emailed and/or faxed, if the client has provided such information.

The client will receive all the relevant information for all members of his/her party or group.

Upon submission of documents by SGW, the client will be responsible for checking and ensuring the accuracy of information and the onus is on the client for ensuring that the contract document is correct as the client’s instructions. Any inaccuracies, omissions and/or discrepancies, such as spelling of names, timings and/or hotel reservations, must be brought to SGW’s attention immediately. Failure to notify SGW of any inaccuracies, omissions and/or discrepancies in due time, will render the client liable for any costs arising as a result of having to modify reservation arrangements, documents etc.

PAYMENT:
A deposit fee of 50% (depending on the wedding package selected and/or time factor involved), is required at time of booking. Date, by which the balance payment is due, will subsequently be notified to the client. If payment is not received on time, we reserve the right to cancel the booking without notification and the client will be liable for cancellation charges and/or services supplier’s surcharges.

CANCELLATION BY THE CLIENT:
All wedding package services and/or products purchased through SGW are strictly NON REFUNDABLE and NON CHANGEABLE.

INSURANCE:

SGW strongly recommend that clients take out travel and/or wedding insurance cover with suitable cover for their specific needs.

FORCE MAJEURE:

SGW accept no responsibility for and shall not be liable in respect of any loss, damage, alteration, delays or changes arising from unusual and unforeseeable circumstances which are beyond our control, such as war or threat of war, civil commotion, riots, industrial dispute including air traffic control disputes, terrorist activity, natural disasters, fire or adverse weather conditions, technical problems with transport, closure or congestion of airports or ports, cancellations of schedules by airlines.

HOTEL ACCOMMODATION:

SGW reserve the right to change the hotel accommodation booked for the client before checking-in date, as a result of circumstances beyond our control. SGW will however endeavour to find alternative and similar accommodation, in terms of hotel star rating and/or facilities offered, as that originally contracted. If for whatever reasons, only an inferior accommodation, in terms of hotel star rating and/or facilities offered, were to be available, SGW will recompense the client to reflect the inferior accommodation. Notwithstanding this, should the client wish to cancel the whole wedding package as a result of the non availability of the contracted level of accommodation, SGW will refund the deposits or payments already made by the client, less SGW’s administration fees and other costs, as previously outlined.

If upon arrival at the contracted hotel, the client were to be dissatisfied with any aspect of the accommodation, this must be immediately notified to the hotel’s concierge or manager. If the client is not satisfied with the response by the hotel’s management, this should be reported to SGW by telephone, email and/or fax, within 24 hours.
The client must inform SGW, in writing, of any complaints, within 7 days of returning to client’s usual place of residence. SGW will not entertain any complaints made to them, after the 7 day ruling. Additionally, SGW will not be liable for any expenses incurred by the client as a consequence of such complaints.

PASSPORTS AND VISAS:
It is the client’s responsibility to ensure that their travel documents, passports and/or travel visas, are valid. In ALL cases, with regards to passports and visas, SGW strongly recommends that clients contact their respective country’s Foreign Office’s travel advice unit to obtain up-to-date information before making their booking with SGW. SGW strongly emphasise that it is the client’s responsibility for ensuring that all laws and regulations, of the countries to be visited, are complied with.

UNREASONABLE BEHAVIOUR:
If the client’s behaviour, or for that matter, anyone of his party or group, is such that the hotelier feels unable to accommodate them, you may be asked to leave the hotel. In this instance, no refund for lost night’s accommodation will be made and the cost of any other accommodation or travel expenses will be entirely your responsibility. We shall also hold members of your party jointly and individually liable for any damage to the property together with legal costs incurred in pursuing the claim. We cannot be held responsible for the actions or behaviour of other guests or individuals who have no connection with your holiday arrangements or with us.

Should you cause damage to hotel, or other property – you will be held responsible for the costs of replacement of the same. The hotelier or other affected party may hold your passport as guarantee of payment and only release the passport once the payment has been received by them.

SPECIAL REQUEST:
Please inform us for any special requests such as ground floor rooms, double beds, wheelchair assistance or vegetarian meals when you confirm you’re booking. Although we shall endeavour to meet special requests this is dependant upon our suppliers and we cannot guarantee that your requirements will be met. We cannot accept responsibility for any booking that is conditional upon a special request being met which is not guaranteed by us prior to your departure.
